Terms and Conditions for Registration, Participation, and Hotel Booking for the TurfTech 2024 Event

General Provisions
1.1 These terms and conditions govern all aspects of registration, participation, and hotel booking for the event.
1.2 By completing and submitting this form, the participant unconditionally agrees to these terms and conditions.
1.3 The organization reserves the right to amend these terms and conditions at any time. Any amendments will be communicated to participants via the provided email addresses.

Registration and Participation
2.1 Participants must complete the registration form accurately and truthfully.
2.2 The participant bears full responsibility for the accuracy and completeness of the provided information.
2.3 Registration is deemed confirmed only upon the participant’s receipt of a confirmation email from the organization.
2.4 The organization reserves the right to refuse or cancel a registration if the provided information is found to be false, misleading, or incomplete.
2.5 Participants must present a valid identification document upon arrival at the event for verification purposes.
2.6 Participation in the event is free of charge. In return, the participant grants TurfTech the right to use the logo of the company, football club, or organization they represent, free of charge and at TurfTech's discretion, for publication and promotional purposes. This pertains to the logo publicly available through open sources. By agreeing to these terms, the participant confirms they have the necessary authorization from the represented organization to grant this right to TurfTech.
2.7 In the event that any objections arise regarding the use of the respective logo as outlined in section 2.6, TurfTech must be notified immediately. TurfTech will then have a period of 7 days to address and resolve the issue. The participant agrees that during this period, under no circumstances will any costs be charged to TurfTech for the use of the logo.

Hotel Booking and Passport Information
3.1 Participants must submit a copy of their passport or ID card for hotel booking purposes.
3.2 The provided passport or ID information will be used exclusively for reservation and check-in procedures at the hotel and will be handled with strict confidentiality.
3.3 Participants are solely responsible for ensuring the accuracy and validity of the submitted documents. The organization is not liable for any issues arising from incorrect or invalid documents.
3.4 The organization will not be liable for any delays or issues caused by incorrect or incomplete passport or ID information.

Payment and Cancellation Policy
4.1 A cancellation fee of 150 euros will be charged if the participant fails to cancel their registration before 12-10-2024 or does not attend the event without a valid reason.
4.2 Cancellations must be communicated no later than 30 days before the event via email. The participant must include their full name and registration details in the cancellation notice. The cancellation will only be valid once it has been confirmed by email by TurfTech.
4.3 The cancellation fee will be automatically charged if the participant does not comply with these terms.
4.4 Refunds for cancellations made before the deadline will be processed within [number of days] days of receiving the cancellation notice. Participants are responsible for any additional bank charges or fees associated with the refund process.
4.5 In the event of a valid cancellation, any payments made by participants will be refunded, excluding any non-refundable deposits or charges incurred by the organization.

Responsibility and Liability
5.1 The organization is not liable for any loss, theft, or damage to participants’ personal belongings.
5.2 Participants must comply with all instructions and guidelines provided by the organization during the event. Failure to comply may result in removal from the event without refund.
5.3 The organization reserves the right to remove any participant who behaves inappropriately or disruptively.
5.4 Participants are responsible for obtaining their own travel insurance and covering any medical expenses incurred during the event.
5.5 The organization is not liable for any injuries or accidents that occur during the event. Participation is at the participant’s own risk.

Privacy and Data Protection
6.1 Personal data provided by participants will be used solely for the purposes of organizing and executing the event and hotel booking.
6.2 Personal data will be treated with confidentiality and will not be shared with third parties without the participant’s explicit consent.
6.3 Copies of passports or ID cards will be used exclusively for hotel booking and will be securely destroyed after the event.
6.4 Participants have the right to request access to, correction of, or deletion of their personal data by contacting the organization via [contact method].
6.5 The organization will implement appropriate technical and organizational measures to protect personal data against unauthorized access, alteration, disclosure, or destruction.

Changes and Cancellations by the Organization
7.1 The organization reserves the right to modify or cancel the event in case of unforeseen circumstances, including but not limited to natural disasters, health emergencies, or other force majeure events.
7.2 In the event of cancellation by the organization, any payments made by participants will be fully refunded. The organization is not responsible for any additional costs incurred by participants, such as travel or accommodation expenses.
7.3 The organization will notify participants of any changes or cancellations as soon as possible via the provided contact details.

Applicable Law and Disputes
8.1 These terms and conditions are governed by Dutch law.
8.2 Any disputes arising from these terms and conditions will be exclusively submitted to the competent court in Roermond.
8.3 Participants agree to attempt to resolve any disputes amicably with the organization before proceeding to legal action.
8.4 The organization’s failure to enforce any provision of these terms and conditions shall not be deemed a waiver of such provision or the right to enforce it.
